Recruitment agency Immens is constantly optimizing its processes with Minggo. From automatically requesting availability and proposing candidates to smart vacancy pages.

How does a small interim and recruitment & selection agency from Groningen manage to place so many finance & control professionals? “By continuously optimizing processes.” Anneli Schenkel, recruitment team lead at Immens, explains how they use Minggo to optimize non-stop and maintain up-to-date availability for 96% of their candidates.
What did you want to optimize?
Anneli Schenkel: “At Immens, we look much more closely than other agencies at how we can make our processes faster and smarter. For the candidate and for ourselves. For example, we already had a portal, but candidates had to log in again and remember their username and password. Why would they do that? What made Minggo so attractive to us is that you can simply send a link, without a login. People can just answer a few questions and they’re done. It makes things very easy for the candidate.”
“Getting candidate availability could also be much more efficient. The recruiter had to first search the ATS for candidates without an up-to-date availability date, then manually send an email to request the date, and then later, after the candidate responded, enter the date into the ATS.”
“This doesn't seem like much work for one candidate, but if you have to do it for 100 candidates, you lose a lot of time. We saw that you can digitize flows and request data much more efficiently with Minggo, so we started creating automations using the Minggo platform.”

What do you use Minggo for?
Requesting availability at lightning speed
Anneli: “We use Minggo to make various things more efficient, but the most important digitization is definitely requesting the availability date of our interim professionals. We had quite a few candidates in the database with an old availability date, sometimes even from 2017. It was very difficult to get these candidates back on board. Now, a message is automatically sent from the ATS to the interim professional with the message: ‘We have this date listed as your availability date. Is that no longer correct? Click here to update it’, with the link to the Minggo form.”
“By doing this, we have up-to-date and correct availability for 96% of our database. As a result, candidates we had forgotten about and were no longer matching to vacancies are coming back to the forefront. Now you see: ‘hey, this candidate is available’, you view the resume and see that it’s actually an interesting candidate who was just sitting in your ATS. That way, you discover new gems within your own ATS.”

Smoother job interviews with the Intake Form
Anneli: “During a conversation with a candidate, our recruiters had to enter information in many different places and tabs within the ATS. It was quite a search. Because the input fields were scattered across so many different locations, a field was often forgotten or only partially filled out.”
“That’s why we used Minggo to create a handy intake form for the recruiter, where all the important questions they need to cover during the interview are in one place. Once the recruiter has completed the form, all the data is automatically populated into the various fields in Carerix. It helps immensely to have complete data in Carerix, and it gives the recruiter a better overview. This way, the recruiter knows: ‘I need to complete these 10 steps, and then I’m certain I have all the important information about the candidate’.”
“In the future, we want to go over the intake form with the candidate at the end of the interview: ‘I have noted that you hold these degrees and that we have your permission to approach you for these three roles.’ This allows the candidate to check if everything is correct and helps you wrap up the conversation effectively. Without a great-looking Minggo form, we couldn’t do this, because the information isn’t in one place in the ATS itself, and the branding isn’t right.”

Highlighting clients with a dedicated job page
Anneli: “We often have to fill multiple roles for a single client. To give such a client extra visibility and run targeted campaigns, we wanted to bundle all their vacancies on one webpage with additional information. This wasn’t possible on our job site. Fortunately, Minggo now offers the solution. With Minggo, we can create special vacancy pages for every client, including their branding, photos, and relevant information. These pages are seamlessly integrated into our website and ATS, making the entire process more efficient.
Delivering Christmas gifts with the Address Check
Anneli: “We use Minggo to make even the smallest tasks run more efficiently. For example, at Christmas, we created an Address Check for delivering holiday gift packages. A message was sent to all interim professionals containing their address and a request to confirm if it was still correct. If not, the interim professional could easily update the address via the link. That way, we were able to deliver all the gift packages to the right address.”

It can be much easier for clients, too
Anneli: “Now that we have Minggo, we see so many opportunities for optimization. Here is a summary of our future plans.”

“Soon, we will also simplify the process with clients using Minggo. We are going to create a Job Intake Form so that clients can easily submit new vacancies.” - Proposing candidates
“We want to introduce candidates to clients via a link to a Minggo page. On this page, clients will have access to all relevant information, including CVs, for interesting candidates.” - Shorter application form + profile enrichment
“In addition, we want to shorten our application form and use Minggo to automatically request data immediately after the application. For example: ‘Hi, you’ve applied. Could you please answer these questions: What are your desired roles? Could you upload a recent CV?’ We can adjust the questions depending on the vacancy.”
What is the benefit of Minggo?
“It has simply become much easier”
Anneli: “Candidates are very enthusiastic about this new way of requesting information, they even give us spontaneous compliments about it. It has simply become much easier for the candidate as well: everything Immens already knows about them is already there, and they only need to make a small adjustment if something is incorrect. Because all the pages are beautifully customized to match the Immens brand identity, candidates immediately see: ‘ah, that’s from Immens, we know them’. The difference is sometimes in the details.”
Anneli: “Our recruiters see the benefits too. Thanks to the Intake Form, they can focus more on the candidate during the conversation instead of searching for the right field in the ATS. The new way of requesting availability also saves them a lot of manual work. And Because 96% of the candidate profiles in the ATS are up to date, recruiters now have a much better view of our internal talent, which helps us fill vacancies.“
Getting started with Minggo
Anneli: “Before we could start building pages ourselves with Minggo, we received a short training session. It was really fun and useful. You can start creating and testing pages right during the training. And they continue to support you afterwards: if I have a question, I can just ask it through the Minggo platform and I get a comprehensive answer right away.”
